How ACT handles privacy, analytics and practice records.

This policy explains how Alleviate Recruitment handles personal information for ACT, the Alleviate Coaching Tool.
ACT supports candidates preparing for role-specific government, public-sector and private-sector interviews. It is a preparation service, not a recruitment assessment or selection decision tool.
Information ACT collects
ACT collects the information needed to provide interview practice, account access, billing, support and product improvement.
- Account details, including name, email address, timezone, sign-in records and privacy or email preferences.
- Practice role details, including the Position Description, Job Description, job ad text or file you provide.
- Interview practice records, including answers, draft transcripts, reviewed transcripts, reports, readiness indicators and practice history.
- Billing references, checkout status, practice credit records and payment processor references. ACT does not store full card numbers.
- Support and privacy request records, including export, correction, deletion and unsubscribe requests.
- Privacy-limited usage and acquisition data, including templated page path, referral domain, campaign tags, first and last touch, coarse device/browser categories, engagement milestones and product conversion steps.
How information is collected
Most information is collected directly from you when you create an account, buy practice credits, upload or paste role material, complete practice, review transcripts, download reports or contact support.
Some records are generated as part of the service, such as role summaries, practice questions, coaching feedback, reports, product events, payment events and operational logs.
ACT also receives limited operational records from specialist services that support payment processing, account access, secure hosting, analytics, error monitoring, background tasks, AI-assisted feedback, speech transcription and report delivery.
Why ACT uses personal information
ACT uses personal information only for product, account, billing, security, support, compliance and improvement purposes connected to the service.
- Create and manage your ACT account.
- Prepare role-specific interview questions, transcripts, feedback and practice reports.
- Process payments, apply practice credits, issue billing records and investigate payment issues.
- Send transactional account, payment, security, report-ready and service messages.
- Send optional coaching, feedback or product emails only where allowed, with unsubscribe controls.
- Understand public-page acquisition, funnels and product health without sending Position Description text, answers, transcripts, audio or report prose to analytics tools.
- Detect abuse, maintain security, investigate errors and respond to privacy, support or legal requests.
Cookies, analytics and tracking
ACT uses essential account storage for sign-in, security, checkout and remembering privacy choices. Essential storage is not used for advertising or optional product analytics.
ACT uses privacy-limited analytics by default for production visitors unless they turn it off. The service uses first-party acquisition and visit identifiers to understand how people find ACT and which safe pages or product steps are working.
The compact analytics notice closes automatically after eight active seconds unless the pointer or keyboard focus is within it. Automatic dismissal records only that the current notice was seen; it is not consent or an explicit analytics preference, and default analytics remains on. ACT shows the notice again if its wording or policy version changes.
ACT records immutable first-touch and qualified last-touch campaign attribution. This may include validated utm_source, utm_medium, utm_campaign, utm_content, utm_term and utm_id values, referral domain, templated routes, coarse device/browser categories, engagement milestones and product conversion milestones.
Recognised advertising click identifiers may be stored encrypted by ACT for up to 90 days. ACT does not currently send those click identifiers or conversion events to advertising platforms.
After sign-in, eligible browser and server analytics events may be connected using a non-reversible privacy code. ACT does not send the raw account identifier, name or email address to the analytics service.
Browser analytics keeps session recording, broad DOM autocapture, heatmaps, rage-click capture and copied-text capture off. ACT does not use visitor country, state, city, postcode, coordinates or IP-derived location for this analytics policy or segmentation.
ACT does not send Position Description text, answers, transcripts, audio, signed URLs, report prose, passwords, payment card details or secret-like values to analytics tools.
Choosing Use essential only on the public notice keeps essential storage working and turns off future optional analytics on that browser. Signed-in users can also turn analytics off from Privacy settings, which makes the preference durable across browsers.
Turning analytics off clears optional browser acquisition state and stops future optional capture. ACT does not reconstruct activity that occurred while analytics was off.
Email, consent and unsubscribe
Transactional emails for account, security, payment and service operation may still be sent when needed to provide ACT.
Commercial, feedback, product, promotional or mixed commercial emails must identify Alleviate Recruitment, include contact details and include a clear unsubscribe path where required.
Unsubscribe links do not require payment, account creation or sign-in. ACT records unsubscribe events and stops optional coaching or feedback emails after withdrawal.
Sharing and overseas disclosure
ACT shares personal information with specialist services only where needed to operate, secure, monitor or improve the service.
Those services may process limited information in Australia, Singapore, the United States or other countries where their infrastructure and support teams operate. ACT limits shared data to the smallest practical data set for the task.
ACT's privacy-limited product and campaign analytics service is hosted in the United States and receives only the restricted analytics data described in this policy.
Sensitive practice content is not sent to analytics or advertising tools. Candidate content is shared only with the specialist services needed to run the practice experience, such as AI-assisted coaching, speech, storage or background processing services.
Access, correction, export and deletion
Signed-in users can export or request deletion of practice data from Privacy settings.
You can ask Alleviate Recruitment to access or correct personal information connected to your ACT account. Include the account email you use for ACT, but do not send Position Description text, transcripts or report content by email.
Some records may need to be retained where required for billing, security, audit, legal or dispute-handling reasons.
Security and retention
ACT uses server-side access controls, private storage, redaction and admin audit logging to reduce the risk of unauthorised access or disclosure.
Practice data is retained only for as long as needed for ACT operation, user access, support, compliance, audit or backup recovery. Signed-in Privacy settings show the current account data-retention default.
Anonymous acquisition records are retained for up to 25 months from last activity. Encrypted advertising click identifiers are deleted after 90 days. User attribution remains linked while the account is active, subject to account deletion and applicable legal retention requirements.
No internet service can guarantee absolute security, but ACT is designed to minimise analytics exposure and keep sensitive practice content out of product monitoring tools.

Alleviate Recruitment will review privacy complaints and aims to respond within a reasonable time. If you are not satisfied with the response, you may be able to contact the Office of the Australian Information Commissioner.

If you cannot resolve a privacy complaint with Alleviate Recruitment, the OAIC provides information about privacy complaints in Australia.
